What Goes Into a Bulletproof Driver Qualification File (And Why It Matters)
A complete Driver Qualification file is the single most-requested item in any DOT audit — and the easiest one to get wrong. Here's what belongs in every folder, and how to keep it audit-ready year-round.

Ask any safety director what keeps them up at night and the Driver Qualification (DQ) file is near the top of the list. It's the first thing a DOT auditor asks for, the first thing an insurer reviews, and the first thing a plaintiff's attorney subpoenas. A missing form can turn a defensible case into a settlement.
What FMCSA expects in every DQ file
Per 49 CFR Part 391, each driver's file should contain, at minimum, the employment application, the motor vehicle record (MVR) from each state of licensure, the annual review of driving record, the road test certificate or equivalent, the medical examiner's certificate, and records of any violations. Many of these have to be refreshed on a schedule — the annual MVR and review chief among them.
Why "we have it somewhere" isn't good enough
Having the document isn't the same as being able to produce it. When records live in a filing cabinet or a shared inbox, the expiration dates are invisible until it's too late. A medical card that lapsed three weeks ago is a violation whether or not anyone noticed.
SecuraHaul keeps each driver's qualifications in one place and watches every expiration date for you — CDLs, medical certificates, annual reviews — so the file is always current and always one click from being printed or bundled.
Make the file work for you, not against you
The same records that protect you in an audit protect you in court. When every qualification, training, and acknowledgment is timestamped and organized, you can prove a driver was qualified and trained on the day of an incident — instantly.
Stop chasing paperwork. SecuraHaul builds the file as you go, so it's ready the moment you need it.
